The Key Difference — Different Products for Different Sizes

The biggest mistake people make when comparing TaskDrop and Tradify is treating them as the same kind of product. They aren't.

Tradify is a job management platform. It handles the entire lifecycle of a job — enquiry, quote, schedule, dispatch, time-tracking, invoice, payment. It has separate desktop and mobile apps, integrates natively with Xero, QuickBooks, and Sage, and is built for businesses with employees and complex workflows. Their mobile app is consistently rated as one of the best in trade software.

TaskDrop is an invoicing tool. It does one thing well — turns the messy reality of WhatsApp messages and voice notes from a worksite into clean, professional invoices in 60 seconds. There's no app to download. No new system to learn. You send a voice note describing the job, TaskDrop sends back a finished PDF.

Tradify is what you grow into when you have a team of 5 electricians and need to know who's on which site, when timesheets get approved, and which jobs are profitable. TaskDrop is what you use when it's just you in the van and you don't want to spend Sunday night doing paperwork.

Pricing — The Honest Numbers

Tradify's UK pricing is per user, per month. The Lite plan starts at £34/user/month for 1-3 users. The Pro plan is £28/user/month when you have 4+ users (so it gets cheaper per head as you scale). The Plus plan is for 10+ users and is priced on request.

TaskDrop has flat per-business pricing. The Starter plan is £19/month total, regardless of how many invoices you send (up to 30/month). Pro is £39/month for unlimited documents and the full feature set including auto chasers, Letter Before Action, HMRC reminders and the annual tax summary.

For a solo trader, TaskDrop Starter at £19/month is 44% cheaper than Tradify Lite at £34/month. Across 12 months that's £228 vs £408 — a £180 difference.

For a 5-person team, the maths flips. 5 × £28 (Tradify Pro) = £140/month for everyone vs TaskDrop's £39 flat — but TaskDrop isn't built for 5 users, so this isn't really a fair comparison.

This is a fair question. Tradify integrates natively with Xero and QuickBooks — that's a real advantage for businesses that already use those for their accounting.

TaskDrop currently offers CSV export of your invoices, expenses, and tax records — which imports into Xero, QuickBooks, FreeAgent, or your accountant's software. Direct API integration with Xero and QuickBooks is on our roadmap for 2026.

The honest framing: TaskDrop is the input layer for your accounting — capturing invoices and expenses on-site via WhatsApp. Xero or QuickBooks remain your accounting layer for VAT, balance sheets, and your accountant's view. Many of our users use TaskDrop for invoice creation and Xero for accounting; the CSV export bridges the two today, and direct integration will make it seamless tomorrow.
