Please read these terms carefully before using TaskDrop. By signing up or using the service, you agree to these terms.
1. The Service
TaskDrop is an AI-powered document generation service for UK tradespeople, accessible via WhatsApp and a web dashboard. We generate professional quotes, invoices, job reports, and follow-up emails based on job descriptions you provide — typed or as voice notes. The service includes payment tracking, automated overdue reminders, expense logging, mileage tracking at HMRC-approved rates, and a customer dashboard. TaskDrop also offers a referral scheme under which existing users may earn 30 days of unlimited documents for each new user who signs up via their unique referral link.
TaskDrop uses third-party AI providers (OpenAI for text understanding and message generation; Groq for voice transcription) to process the data you submit. Voice notes are transmitted to Groq for transcription and returned to TaskDrop as text. Full details of how AI processes your data, including international data transfers, are set out in our Privacy Policy.
TaskDrop also offers TaskDrop Pay — an optional payment-processing feature that allows your customers to pay invoices by card via Stripe. TaskDrop Pay is subject to the additional terms in Section 3a below.
2. Eligibility
You must be 18 or over and based in the United Kingdom to use TaskDrop. By signing up, you confirm you are using the service for legitimate business purposes.
3. Cost & Payment
TaskDrop is provided free of charge. There is no subscription, no monthly or annual fee, no free trial that converts to a paid plan, and no credit-card capture at signup.
The only fees TaskDrop earns are through TaskDrop Pay (Section 3a). If you do not enable or use TaskDrop Pay, no fees of any kind are payable to TaskDrop.
If we ever introduce paid features in the future, those features will be optional, clearly priced, and will not affect access to the free product as it exists at the date you signed up. You will be given at least 30 days' notice in writing of any change to this commitment.
3a. TaskDrop Pay
TaskDrop Pay is an optional feature that enables card payments on your invoices via Stripe Connect. By enabling TaskDrop Pay you agree to the following:
- Platform fee: TaskDrop charges a 1% platform fee on all TaskDrop Pay transactions processed through TaskDrop Pay. This fee is deducted automatically from the payment before it is transferred to your account.
- Stripe fees: Stripe's standard processing fees also apply and are deducted separately. For card payment via Pay Now, Stripe currently charges 1.5% + 20p (total cost approximately 2.5% + 20p). For Pay By Bank (Open Banking), Stripe charges their standard Open Banking processing rate. These fees are set by Stripe and subject to change by Stripe at any time.
- Stripe Connected Account: By connecting TaskDrop Pay, you create a Stripe Express connected account. You separately agree to Stripe's Connected Account Agreement. TaskDrop is not responsible for Stripe's services, availability, or terms.
- Payouts: Funds are paid out to your connected UK bank account by Stripe, typically within 2 working days. Payout timing is determined by Stripe and may vary.
- Refunds and chargebacks: As the seller, you are responsible for resolving disputes, refunds, and chargebacks with your customers. TaskDrop's 1% platform fee is non-refundable in the event of a chargeback or refund — Stripe's processing fee is also subject to Stripe's own refund policies.
- Optional: TaskDrop Pay is entirely optional. You can continue to use bank transfer at no cost, or use both methods on the same invoice. You can disconnect TaskDrop Pay at any time from your TaskDrop dashboard or directly from your Stripe Express account at express.stripe.com.
- Eligibility: TaskDrop Pay is available to UK-based sole traders and businesses who pass Stripe's identity verification (KYC) requirements.
3b. Making Tax Digital (MTD ITSA) — HMRC Submissions
TaskDrop offers an optional feature that connects your HMRC account and submits quarterly Making Tax Digital Income Tax (MTD ITSA) returns to HMRC directly on your behalf. This feature is built and sandbox-tested; live filing is subject to HMRC production credentials being granted. This feature is entirely optional — if you do not connect your HMRC account, no HMRC data is accessed or submitted by TaskDrop. By connecting your HMRC account you agree to the following:
- Authorisation: By connecting your HMRC account via the OAuth flow, you authorise TaskDrop to access your self-employment income and expense data, check your MTD obligations, and submit quarterly period summaries to HMRC on your behalf. You may revoke this authorisation at any time from your TaskDrop dashboard.
- Your responsibility for accuracy: You are solely responsible for ensuring the figures submitted to HMRC are accurate and complete. TaskDrop compiles quarterly summaries from the invoices you create and the expenses you log in the platform — if that underlying data is incorrect, incomplete, or does not reflect your actual income and expenditure, the submission will reflect that. You must review your quarterly figures in the dashboard and confirm they are correct before initiating a submission. By tapping the Submit button and confirming the figures, you represent to TaskDrop and to HMRC that the information is accurate to the best of your knowledge.
- TaskDrop's liability for submissions: TaskDrop is not liable for any penalties, interest, surcharges, enquiries, or other consequences arising from incorrect, incomplete, or late submissions — whether caused by incorrect data you entered, data not entered, a failure to review figures before submitting, or any other reason. TaskDrop's role is limited to transmitting the figures you approve to HMRC's API. TaskDrop does not independently verify the accuracy of your income or expense figures.
- Indemnity: You agree to indemnify and hold harmless TaskDrop, its owner, and any associated parties from any claim, liability, penalty, loss, or expense (including reasonable legal costs) brought by HMRC, a third party, or any other person arising from any submission made through your connected HMRC account, including submissions made with incorrect or incomplete figures.
- You remain the taxpayer: Connecting TaskDrop to HMRC does not transfer any tax liability or compliance obligation to TaskDrop. You remain fully responsible for your tax affairs, including ensuring your quarterly submissions are made by the relevant deadlines, your figures are accurate, and your annual Self Assessment is completed correctly.
- Amending incorrect submissions: HMRC allows quarterly submissions to be amended within the same tax year. If you discover an error after submitting, you can resubmit corrected figures for the same period. TaskDrop will support this functionality. It is your responsibility to identify and correct any errors — TaskDrop has no obligation to proactively identify inaccuracies in your submissions.
- Prior income declarations: TaskDrop allows you to manually declare income earned in the current quarter before joining TaskDrop (for example, invoices previously raised through another system). This figure is added to your quarterly turnover submission to HMRC. You are solely responsible for the accuracy of any manually entered prior income figure. TaskDrop does not verify this figure against any external source, original invoice, or previous submission. Entering an inaccurate prior income figure — whether too high or too low — is your responsibility and may result in an incorrect tax submission. TaskDrop accepts no liability for any penalty, interest, or HMRC enquiry arising from an inaccurate prior income declaration. You should retain your original invoices as supporting records in case HMRC requests evidence.
- Submission log: TaskDrop records a log of each submission made including the period, income and expense figures submitted, and the timestamp. This log is available in your dashboard. You should retain your own records in accordance with HMRC's record-keeping requirements (currently 5 years from the 31 January submission deadline for the relevant tax year).
- Fraud prevention data: HMRC requires software providers to transmit fraud prevention data with every API call. This includes your device identifier, browser user agent, IP address, screen dimensions, and timezone. This data is transmitted directly to HMRC as required by their fraud prevention specification. By using this feature you consent to this transmission.
- HMRC API dependency: This feature depends on HMRC's Making Tax Digital APIs. HMRC may change, restrict, or withdraw these APIs at any time. TaskDrop is not responsible for any failure, delay, or rejection caused by HMRC's systems or API changes.
- Production status: TaskDrop has applied for HMRC production credentials. Until production approval is granted, submissions are made to HMRC's sandbox environment and do not constitute real tax submissions. TaskDrop will notify active users via WhatsApp before live production submissions are enabled. Once production credentials are active, this clause will be updated to reflect that status.
- No tax advice: TaskDrop is not a tax adviser. The quarterly figures shown in your dashboard are compiled from your records — they do not constitute tax advice, accountancy services, or a guarantee of compliance. If you are unsure about your MTD obligations, consult a qualified accountant.
4. Disclaimer
TaskDrop is a document generation tool. It does not constitute financial, legal, tax or accounting advice. Documents generated by TaskDrop are provided as a convenience — you are responsible for ensuring all information is accurate and that documents comply with any applicable legal or regulatory requirements. TaskDrop is not liable for any errors in documents you create or for any decisions made on the basis of those documents. For tax and accounting advice, consult a qualified professional.
5. WhatsApp Service
WhatsApp access is provided via the WhatsApp Business API. By providing your phone number, you consent to receiving WhatsApp messages from TaskDrop including document deliveries, automated reminders, and service notifications. Message and data rates may apply from your mobile provider.
5a. Facebook & Instagram Integration
TaskDrop offers an optional feature allowing you to connect your Facebook Business Page and/or Instagram Business Account to receive lead enquiries directly in your WhatsApp. Use of this feature is subject to the following:
- Optional: The Facebook and Instagram integration is entirely optional. You can use TaskDrop fully without connecting a Meta account.
- Your responsibility: By connecting your Facebook Business Page, you confirm you are an authorised administrator of that Page and have the right to grant TaskDrop access to it. You are responsible for your own compliance with Meta's Platform Terms in connection with your use of this feature.
- Data access: When you connect your Page, TaskDrop accesses your Page ID, Page name, and a Page Access Token, and receives lead and message data generated by your Page. This data is used solely to forward enquiries to your WhatsApp number. See our Privacy Policy (Section 6b) for full details.
- Disconnecting: You can disconnect your Facebook Page at any time from the Account section of your TaskDrop dashboard. Disconnection removes your Page Access Token from our systems immediately.
- Meta API changes: This feature depends on Meta's APIs and Platform Terms, which Meta may change at any time. TaskDrop is not responsible for any interruption to the Facebook or Instagram integration arising from changes Meta makes to their platform, APIs, or policies.
- No affiliation: TaskDrop is an independent service and is not affiliated with, endorsed by, or sponsored by Meta Platforms, Inc.
6. Fair Use
The free TaskDrop service includes a fair-use limit of 25 documents (invoices, quotes or job reports) per rolling 30-day period for users who are not actively using TaskDrop Pay. This limit exists to keep the service sustainable for users we are not earning anything from.
The fair-use limit is automatically removed upon completion of your first successful TaskDrop Pay transaction in any rolling 30-day period. After that, document generation is unlimited subject to general fair-use principles — we reserve the right to contact users generating extreme volumes (e.g. 1000+ documents/month) to discuss the appropriateness of their usage.
If you need a higher fair-use limit and do not wish to use TaskDrop Pay, please contact owen@taskdrop.co.uk — most cap-raise requests are granted at no cost.
7. Document Accuracy
TaskDrop generates documents based on information you provide — typed text or transcribed voice notes. AI processing (transcription and text understanding) is highly accurate but not perfect. You are responsible for:
- Reviewing all generated documents before sending to customers
- Verifying that voice-note transcriptions correctly captured prices, names, and figures
- Ensuring accuracy of prices, dates, and customer details
- Compliance with applicable trade regulations and standards
- Any errors or omissions in documents sent to your customers
TaskDrop documents are a starting point — always verify before use for legal or safety-critical purposes. We are not liable for losses arising from transcription or AI errors that you could have caught by reviewing the document before sending.
7a. Tax Document Disclaimer
TaskDrop generates invoices, quotes, and other documents designed to align with HMRC requirements for UK sole traders. However, you remain solely responsible for verifying that documents issued under your name are accurate, complete, and appropriate for your specific tax circumstances.
In particular, if you are:
- VAT registered on the Flat Rate Scheme
- subject to CIS domestic reverse charge VAT rules
- operating under any other complex or non-standard tax arrangement
You should review documents generated by TaskDrop with a qualified accountant before issuing them to customers. TaskDrop does not provide tax, legal, or accounting advice. Nothing in this service constitutes professional advice of any kind.
TaskDrop accepts no liability for any loss, penalty, or HMRC enquiry arising from documents generated through the platform where the user has not verified their appropriateness for their individual circumstances.
8. Data Retention
Upon cancellation or deactivation of your account, your data is retained while you may still wish to reactivate or export it. After 90 days of inactivity, an automated routine runs:
- Your jobs, conversations, and expense records are permanently deleted from our database
- Your subscriber record is anonymised (personal fields such as your name, business name, address, email, phone, and bank details are replaced with "[deleted]") but the row is retained for accounting and audit purposes as required by UK tax law
- Your generated PDFs in storage and your logo image file may persist for a short period as part of routine server housekeeping
You may request immediate deletion at any time by emailing support@taskdrop.co.uk or using the Delete My Data button in your dashboard. See our Privacy Policy Section 9 for the full retention schedule.
8a. Data Breach Notification
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, TaskDrop will notify the Information Commissioner's Office (ICO) within 72 hours of becoming aware of the breach, as required by UK GDPR. Where a breach is likely to result in a high risk to you personally, we will also notify you directly — by WhatsApp message to your registered number and/or by email — without undue delay.

9. Acceptable Use
You must not use TaskDrop to:
- Generate fraudulent or misleading documents
- Send unsolicited messages to non-customers
- Process payments for goods or services that violate the law or Stripe's prohibited businesses list
- Attempt to disrupt, scrape, or reverse-engineer the service
- Resell or sublicense the service to third parties
- Create accounts on behalf of others without authorisation
- Use the service for any unlawful, harassing, or harmful purpose
We reserve the right to suspend or terminate accounts that breach these requirements without notice and without liability.
10. Intellectual Property
TaskDrop, including its software, design, content and trade marks, is owned by the TaskDrop business and protected by UK and international intellectual property laws. You retain ownership of the content you input (job descriptions, customer names, prices) and the documents generated for your own use. By using TaskDrop you grant us a limited licence to process your input through our AI providers solely for the purpose of generating your documents.
11. Job Report Disclaimers
Job reports generated by TaskDrop are written records of work performed or observations made — they are not safety certifications, gas safety certificates, electrical certificates of compliance, or any other regulated document type. You must use the appropriate certified scheme for any work that legally requires certification (e.g. Gas Safe, NICEIC). TaskDrop is not responsible for any consequences arising from misuse of job reports as substitutes for certified documents.
12. Limitation of Liability
To the maximum extent permitted by UK law, TaskDrop's total liability to you for any claim arising from your use of the service is limited to:
- For free users (no TaskDrop Pay activity): £100 per claim
- For users with TaskDrop Pay activity: the total platform fees TaskDrop has earned from your account in the 12 months preceding the claim, or £100, whichever is greater
We are not liable for indirect, consequential, or business-loss damages, including but not limited to lost income, loss of profit, loss of business, missed customers, or reputational harm.
13. Service Availability
We aim to provide a reliable service but do not guarantee 100% uptime. Planned maintenance will be communicated where possible. The service depends on third-party providers including Meta (WhatsApp Business Cloud API), Stripe, Supabase, OpenAI, Groq, and Cloudflare. We are not responsible for outages, disruptions, or failures caused by these providers.
14. Cancellation & Termination
You may stop using TaskDrop at any time, with no notice required. To formally close your account:
- Type CANCEL on WhatsApp to the TaskDrop number
- Or use the close-account option in your dashboard
- Or email support@taskdrop.co.uk
When you close your account via WhatsApp or the dashboard, your account is deactivated immediately but not deleted. A 30-day reactivation window applies — you can reactivate your account within 30 days by following the link sent to you at closure, after which your data will be permanently anonymised in line with Section 8. To permanently delete your account immediately, use the Delete my data option in the dashboard Account tab.
If you have TaskDrop Pay enabled, you may continue to receive payouts for transactions that completed before account closure. After 90 days of inactivity, your data is anonymised in line with Section 8.
We reserve the right to suspend or terminate accounts that violate these terms (Section 9), with no obligation to refund any TaskDrop Pay platform fees already earned.
15. Changes to Terms
We may update these terms from time to time. Material changes — anything affecting cost, fair-use limits, the TaskDrop Pay fee structure, or your data rights — will be notified to active users by email and/or WhatsApp at least 30 days in advance. Non-material updates (typo fixes, restructuring, clarifications) take effect on publication.

16. Force Majeure
TaskDrop is not liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to: failure or unavailability of third-party services (including Meta/WhatsApp Business API, Stripe, Supabase, OpenAI, HMRC APIs, or Cloudflare); internet or network outages; acts of government or regulatory authority; or any other event outside our reasonable control. We will notify you as soon as reasonably practicable and take reasonable steps to minimise the impact.
17. Entire Agreement
These Terms of Service, together with our Privacy Policy, constitute the entire agreement between you and TaskDrop in relation to your use of the service and supersede all prior agreements, representations, or understandings — whether written or oral — relating to the same subject matter. Nothing in any marketing material, email, or WhatsApp message forms part of this agreement unless expressly incorporated by reference in these terms.
18. Severability
If any provision of these terms is found by a court of competent jurisdiction to be invalid, unlawful, or unenforceable, that provision shall be deemed modified to the minimum extent necessary to make it enforceable. If modification is not possible, the provision shall be severed from these terms. The remaining provisions shall continue in full force and effect.
19. Waiver
No failure or delay by TaskDrop in exercising any right, power, or remedy under these terms shall operate as a waiver of that right, power, or remedy. A waiver of any breach shall not be construed as a waiver of any subsequent breach of the same or any other provision. Any waiver must be in writing and signed by an authorised representative of TaskDrop to be effective.
20. Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
21. Complaints
If you have a complaint about TaskDrop, we want to hear about it. To raise a complaint:
- Contact us first: Email support@taskdrop.co.uk with details of your complaint. We aim to acknowledge all complaints within 2 business days and to resolve them within 14 days.
- Escalation: If you are not satisfied with our response, you may contact the ICO (for data protection complaints) at ico.org.uk or seek legal advice.
TaskDrop is a B2B service — you are contracting as a self-employed business owner, not as a consumer. The Consumer Rights Act 2015 applies to consumer contracts and does not apply to business-to-business contracts. Accordingly, the statutory consumer rights that apply to consumer services do not apply to your use of TaskDrop.
