Please read these terms carefully before using TaskDrop. By signing up or using the service, you agree to these terms.
1. The Service
TaskDrop is an AI-powered invoicing and compliance service for UK tradespeople, accessible via WhatsApp and a web dashboard. The service includes:
- Professional quotes, invoices, and job reports generated from typed or voice note descriptions
- Payment tracking and automated overdue reminders at 7, 14 and 21 days
- Expense and mileage logging at HMRC's standard approved rates
- A customer address book and document dashboard
- TaskDrop Pay — instant bank payment on every invoice, shown directly on every invoice (free, see Section 3a)
- Making Tax Digital (MTD ITSA) quarterly submissions to HMRC (optional, £80/quarter, see Section 3b)
- Facebook and Instagram lead capture forwarded to your WhatsApp
- A referral scheme under which existing users may earn 30 days of unlimited documents for each new user who signs up via their unique referral link
TaskDrop uses third-party AI providers — OpenAI for text understanding and message generation, and Groq for voice transcription — to process data you submit. Voice notes are transmitted to Groq for transcription and returned to TaskDrop as text. Full details are set out in our Privacy Policy.
2. Eligibility
You must be 18 or over and based in the United Kingdom to use TaskDrop. By signing up, you confirm you are using the service for legitimate business purposes.
3. Cost and Payment
TaskDrop is free to use. There is no subscription, no monthly fee, no free trial that converts to a paid plan, and no credit card required at signup. Invoicing, quotes, job reports, expense tracking, and TaskDrop Pay are all free forever.
The only fee TaskDrop charges is £80 per quarterly MTD ITSA submission to HMRC (Section 3b). If you do not use the MTD submission feature, no fees of any kind are payable to TaskDrop.
If we ever introduce paid features in the future, those features will be optional, clearly priced, and will not affect access to the free product as it exists at the date you signed up. You will be given at least 30 days' written notice of any change to this commitment.
3a. TaskDrop Pay
TaskDrop Pay displays your bank account details on every invoice you send — your bank name, sort code, account number, and a payment reference. Your customer uses their existing banking app or online banking to send payment directly to your account. TaskDrop is never in the payment flow.
- How it works: Your customer opens the invoice link, sees your bank details, and makes a payment via their banking app using your sort code and account number. They tap "I've received this invoice" on the link to notify you. You receive a WhatsApp message with two buttons — "Yes — mark paid" or "Not yet" — and tap to confirm once payment arrives in your account.
- No chargebacks: Bank transfers are not reversible in the same way card payments are. Once your customer has sent the payment, it cannot be recalled without your agreement. Disputes must be resolved directly between you and your customer.
- Free: TaskDrop Pay is entirely free. TaskDrop does not charge a percentage or processing fee. There is no cost to you or your customer.
- Auto-active: Your bank details appear on every invoice automatically once saved to your profile. There is nothing to set up or activate beyond adding your bank details during onboarding.
- TaskDrop does not hold funds: Payments go directly from your customer's bank account to yours. TaskDrop is never in the payment flow and never holds, processes, or has access to any payment funds.
- Bank details: Your bank account details (sort code and account number) are stored securely and displayed on invoices solely for the purpose of receiving payment. Keep these up to date in your dashboard.
3b. Making Tax Digital (MTD ITSA) Submissions
TaskDrop offers an optional feature to connect your HMRC account and submit quarterly Making Tax Digital Income Tax (MTD ITSA) returns to HMRC directly on your behalf.
Production status: TaskDrop has applied for HMRC production credentials. The initial application was declined; a revised application addressing HMRC's requirements has been submitted. Until production approval is granted, submissions operate in sandbox/test mode and are not transmitted to HMRC live systems. We will notify all users when live production submission is available.
This feature is entirely optional. If you do not connect your HMRC account, no HMRC data is accessed or submitted by TaskDrop.
Pricing: Each quarterly MTD ITSA submission costs £80. This fee is collected via GoCardless Instant Bank Pay — when you approve a submission, a one-off payment link is generated and you authorise the £80 payment via your banking app. There is no Direct Debit mandate. You are never charged without explicitly approving a submission.
By connecting your HMRC account, you agree to the following:
- Authorisation: You authorise TaskDrop to access your self-employment income and expense data, check your MTD obligations, and submit quarterly period summaries to HMRC on your behalf via the HMRC OAuth flow. You may revoke this at any time from your dashboard.
- Your responsibility for accuracy: You are solely responsible for ensuring the figures submitted to HMRC are accurate and complete. TaskDrop compiles quarterly summaries from the invoices and expenses you have logged. You must review these figures before approving submission. TaskDrop is not liable for any penalties, interest, or other consequences arising from incorrect or incomplete submissions.
- No tax advice: TaskDrop is a software tool that compiles and submits the figures you provide. It does not provide tax, accounting, or financial advice, does not calculate or advise on your tax liability, and is not your tax agent or adviser. Any tax calculations or figures shown by HMRC are provided by HMRC, not TaskDrop. You remain responsible for your own tax affairs and should seek advice from a qualified accountant or tax adviser where needed.
- Prior income: If you earned income before joining TaskDrop in a given quarter, you are responsible for declaring it accurately using the prior income feature. TaskDrop cannot verify income earned outside the platform.
- HMRC credentials: Your HMRC access tokens are stored encrypted in our database and are never shared with any third party other than HMRC's own API. You can disconnect at any time from your dashboard, which immediately removes your HMRC credentials from TaskDrop.
- Billing: Each quarterly submission you approve generates a one-off GoCardless Instant Bank Pay link for £80, which you authorise via your banking app. There is no Direct Debit mandate and no automatic recurring collection — you authorise each payment individually at the point of submission.
3c. Lead Enquiries (Lead Portal, Facebook & Instagram)
TaskDrop provides optional features that forward customer enquiries to your WhatsApp as structured leads. These features are free and can be disabled at any time.
- Lead enquiry page: You may be given a shareable enquiry page (taskdrop.co.uk/q/your-business). When a member of the public submits the form on your page, their enquiry is forwarded to your WhatsApp and shown in your dashboard. The enquirer is contacting you directly, with their consent recorded at submission; TaskDrop does not sell or share their details with anyone else.
- Social channels: If you connect a Facebook Page and/or Instagram account, enquiries received via Facebook Lead Ads, Facebook Messenger, or Instagram direct messages are identified and forwarded to you in WhatsApp so you can respond directly to the enquirer.
- Free: These lead features are provided free of charge. TaskDrop does not charge a per-lead fee and does not operate a paid lead marketplace.
- No guarantee: TaskDrop does not guarantee any volume, quality, or conversion of leads. Leads originate from members of the public and TaskDrop is not responsible for their accuracy or for the outcome of any work arising from them.
4. Your Content and Data
You retain full ownership of all data you submit to TaskDrop, including invoice content, customer details, and expense records. By using the service, you grant TaskDrop a limited, non-exclusive licence to process and store your data solely for the purpose of providing the service.
You are responsible for the accuracy of the information you provide. You must not use TaskDrop to generate fraudulent, misleading, or illegal documents.
Uploaded materials (logos and images): TaskDrop allows you to upload a business logo and other images for use on your invoices, quotes, and other documents. You confirm and warrant that you own, or have all necessary rights, licences, and permissions to use, any logo, image, trade mark, or other material you upload, and that its use on documents created and sent through TaskDrop does not infringe the intellectual property rights, trade marks, or other rights of any third party. You must not upload any logo, certification mark, regulatory badge (such as Gas Safe, NICEIC or similar), image, or other material that you are not entitled to use. TaskDrop does not check or verify uploaded materials and accepts no responsibility for their content. We reserve the right to remove, or to refuse to display, any uploaded material at our discretion, including material we believe may infringe a third party's rights or breach these terms.
5. Document Fair-Use Limit
TaskDrop includes a fair-use limit of 25 documents per month (invoices, quotes, and job reports combined) for accounts that have not yet made an MTD submission. This limit is removed permanently after your first MTD quarterly submission. It exists to manage infrastructure costs during early-stage accounts.
If you hit the limit and cannot make an MTD submission, contact us at support@taskdrop.co.uk and we will review your account.
6. Availability and Changes
We aim to keep TaskDrop available at all times but cannot guarantee uninterrupted service. We may update or change features of the service with notice. We will not remove core free functionality (invoicing, quotes, TaskDrop Pay) without at least 30 days' written notice.
We reserve the right to suspend or terminate accounts that are used in breach of these terms, including accounts generating fraudulent documents or abusing the referral scheme.
7. AI-Generated Content
Invoices, quotes, and reminders generated by TaskDrop are produced using AI. While we aim for accuracy, you are responsible for reviewing all generated documents before sending them to customers. TaskDrop is not liable for errors in AI-generated content.
8. Liability
TaskDrop is provided "as is." To the fullest extent permitted by law, TaskDrop (operated by Owen-Nathaniel Moore) is not liable for any indirect, incidental, or consequential loss arising from use of the service, including but not limited to loss of business, loss of data, or HMRC penalties.
Our total liability to you for any claim arising from use of the service is limited to the amount you have paid to TaskDrop in the 12 months preceding the claim.
9. Indemnity
You agree to indemnify and hold harmless TaskDrop (operated by Owen-Nathaniel Moore) against any claims, losses, damages, liabilities, costs, and expenses (including reasonable legal fees) arising from or in connection with:
- any logo, image, trade mark, or other material you upload or use through the service;
- any personal data of your customers or other third parties that you enter, store, or send using the service, including your obligations as a data controller for that data under UK GDPR and your responsibility for having a lawful basis to process and share it;
- the content of any invoice, quote, job report, payment reminder, document, or figures you create, send, or submit using the service, including any content that is defamatory, abusive, misleading, or unlawful;
- any certification, registration, or accreditation you state or display (for example a Gas Safe, NICEIC, or similar number) that you are not entitled to use, or that is inaccurate;
- your use or misuse of any enquiry or lead data obtained through the service;
- your breach of these terms; or
- your infringement of any third party's intellectual property or other rights.
This means that if a third party brings a claim against TaskDrop because of material you supplied, data you handled, or documents you generated, you are responsible for the resulting costs.
10. Governing Law
These terms are governed by the laws of England and Wales. Any dispute arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
