How It Works

Open WhatsApp, open your TaskDrop chat, and send a photo of whatever you've written down — a job sheet, a scribbled note, even a till receipt with materials on it. TaskDrop reads it using AI, extracts the details, and shows you a proof card before creating anything.

Tap Yes, confirm and TaskDrop generates a professional branded PDF invoice and sends it to your customer on WhatsApp. The whole thing takes under a minute.

What It Reads

TaskDrop uses GPT-4o — the same AI that powers ChatGPT — to read your photo. It extracts:

If something's unclear or missing, it asks you to fill it in before generating the invoice. You always see a proof card first — nothing is created until you confirm.

It works with most handwriting — block capitals, joined-up, biro, felt tip. The clearer the writing and the better the light, the more accurately it reads. A photo taken in decent light with the sheet flat on a surface works best.

When to Use It

Photo invoicing is fastest when you've already written the job details down. Common use cases:

How to Do It — Step by Step

  1. Write your job details on paper as normal Customer name, address, job description, price — whatever you'd normally scribble down. No special format needed.
  2. Open WhatsApp and go to your TaskDrop chat If you're not signed up yet, go to taskdrop.co.uk to get started — takes about two minutes.
  3. Send a photo of the job sheet Tap the attachment icon, take a photo or pick one from your camera roll. Make sure the writing is in frame and reasonably clear.
  4. Check the proof card and confirm TaskDrop shows you everything it extracted. If it looks right, tap Yes — or leave it 50 seconds and it auto-confirms. If something's wrong, tap REDO to send another photo, or continue and edit manually.
  5. Invoice sent Professional branded PDF goes straight to your customer on WhatsApp. Job done.

Voice Note vs Photo — Which to Use?

Both produce the same result. The difference is how you prefer to work:

All three are free and available in the same TaskDrop WhatsApp chat — use whichever fits how you work on any given job.

Frequently Asked Questions

What kind of photo can I send?
Any photo of a handwritten or typed job sheet, scribbled note, or receipt with job details on it. It works best when the writing is clear and the photo is taken in decent light. You don't need special paper or a specific format — a biro on the back of a delivery note is fine.
What details does TaskDrop extract from the photo?
TaskDrop reads the customer name, address, job description, price (fixed or hourly), materials and parts costs, and whether it's a CIS job. If any details are missing or unclear, it asks you to fill them in before generating the invoice.
What if the photo is blurry or some details are missing?
TaskDrop shows you a proof card with everything it extracted. You confirm before anything is created — if something's wrong or missing, tap REDO to try again with a clearer photo, or continue and fill in the missing details manually.
Is this different from voice note invoicing?
Same end result, different input. Voice notes are better when you want to describe the job out loud. Photo invoicing is better when you've already written the details down and just want to digitise them quickly. Both show a proof card before creating anything.
Does it work for quotes too?
Currently photo reading creates invoices. If you send a photo of a quote sheet, TaskDrop will extract the details and create an invoice — you can change it to a quote by starting a new quote flow with the extracted details. Dedicated photo-to-quote is on the roadmap.
